Artwork Guidelines

For best results please follow our guidelines below when submitting artwork.


We accept the following file formats TIF, TIFF, JPG, EPS, PNG, and PDF.


If you use a unique font file, please create outlines of the text before uploading. Proofs may not match the final result due to missing font files.


All file formats must have a minimum of 300 dpi (dot per inch) resolution.
The images designed for the web are done at a low screen resolution of 72 dpi. Print images need to be created at 300 dpi or there will be a substantial drop in the image quality.




All color artwork and/or images must be provided in CMYK (cyan, magenta, yellow, black) color mode. All black & white artworks and/or images must be provided in grayscale color mode. Heavy black ink might cause smearing.


Please build your press-ready digital files by adding 0.125″ for all full bleed products.
What’s a bleed?
It is the portion that will be trimmed off when cutting to the final size.


Why bleed?
The purpose of a bleed is to continue a color, image or design to the edge of the card.


Please build your press-ready digital files with full bleed, but do not include the crop marks in the final version. Our art department will determine the crop lines based on the products bleed requirements.


A. Fonts must be outlined or converted to paths.
B. Some fonts have copyright restrictions. Please make sure you have rights to all images you are using.


All critical elements (text, images, logos, etc.) must be kept at least 0.125″ inside the edge. Anything left close to the edge may be cut off during trimming.


Please allow 1/16″ cutting tolerance. We recommend no borders due to shifting, borders may appear uneven.

Delivery Information


All shipping costs are determined dynamically at checkout based on delivery location, products ordered, package weight, and in certain cases, package size. The costs are pulled directly from the shipping provider and are NOT marked up. For bulk orders please contact 1-800-481-4948 for freight shipping options.


Boxing is up to the discretion of the production department. All products will be packaged in the least amount of boxes possible and shipped in one single shipment. This means if you have one product that is completed before another it will be held until all products are completed and then shipped together. We do make exceptions to this rule in the case a) products are produced at more than one facility b) of bulk orders c) customer has made prior arrangements with their account rep d) that one or more products is on backorder.


For some products or scenarios we will break down the total quantity and ship out a partial order if requested. Since UPS and FedEx charge by weight this can dramatically reduce shipping costs for rush shipments. This is done on a case by case basis and customer will incur a small packaging fee. All boxes will have our return address. We will however ship to any location you choose, including your clients.


If you need delivery to a hotel or similar establishment we will accommodate; once the package is signed for we will no longer assume responsibility for package whereabouts. It is your responsibility to notify management that you have a package arriving and you assume full responsibility for them to accommodate you.


We do ship internationally however our system will not pull shipping quotes to some countries. If you experience this please call 1-800-481-4948 and we will provide you with a shipping quote. We have no control over cost of duties or fees that you may be required to pay; most of our products are for promotional use and will be marked as such on the customs form. If you will be shipping internationally please allow extra time for customs to process. We have seen customs take up to seven days before and unfortunately we nor the shipping provider has any control over their timeline.


You may view the status of your order by logging into your account and viewing your order history. In addition, we will update you via email at certain stages of the process. Once the order has shipped you will be provided with a tracking number that you can use on the shipper’s website.


Unless the issue was originated by us we can not refund any shipping charges. This means weather or other delays are not grounds for a shipping refund.


If delivery was attempted to the address you approved during the proofing process and is returned to us do to a) customer not available b) business closed c) incorrect address d) undeliverable address e) customer refusal, then the customer will be responsible for all future shipping charges for that order. This includes orders that fall under the FREE shipping category.


For insurance reasons pickup is allowed only at our Arizona location. Please note not all products are printed at this location.

Refund, Return & Cancellation Policy

Print Event Pro will always strive to give you the best quality product for the best price in the shortest amount of time, but we know sometimes mistakes will be made or orders will need to be cancelled last minute. In these situations we have the following criteria that must be met for refunds, returns or cancellations.


In the event you would like to cancel your order you may do so without penalty up until you have submitted payment for your order. After that point, you may cancel your order up until it is scheduled for a press time for a 25% penalty. Unfortunately, after your order has been scheduled for a press time there can be no changes or cancellations made.


We will accept returns on any non-custom printed item in its original undamaged packaging up to 30 days after the date of sale. Returnee is responsible for both original shipping charges (including FREE shipping orders) and return shipping charges. There will also be a 10% restocking fee.  There are no returns for services items such as custom design.


In the event, the product you receive does not match the proof you approved we will cover all costs to reprint the order correctly and have it delivered in a timely manner. If we are unable to get a corrected product in your hands by the “on-sale” or “event” date we will refund your order in its entirety; including shipping, upon returning the product. Unfortunately, if the printed product does match the proof you approved there is nothing we can do in the way of a refund. There will be no refunds for design services rendered after approval regardless of the situation.

A breach or violation of any of the Terms will result in an immediate termination of your Services.


We reserve the right to refuse service to anyone for any reason at any time.
You understand that your content (not including credit card information), may be transferred unencrypted and involve (a) transmissions over various networks; and (b) changes to conform and adapt to technical requirements of connecting networks or devices. Credit card information is always encrypted during transfer over networks.


You agree not to reproduce, duplicate, copy, sell, resell or exploit any portion of the Service, use of the Service, or access to the Service or any contact on the website through which the service is provided, without expressed written permission by us.


The headings used in this agreement are included for convenience only and will not limit or otherwise affect these Terms.


We are not responsible if information made available on this site is not accurate, complete or current. The material on this site is provided for general information only and should not be relied upon or used as the sole basis for making decisions without consulting primary, more accurate, more complete or more timely sources of information. Any reliance on the material on this site is at your own risk.
This site may contain certain historical information. Historical information, necessarily, is not current and is provided for your reference only. We have made every effort to display as accurately as possible the colors and images of our products that appear at the store. We cannot guarantee that your computer monitor’s display of any color will be accurate.


We reserve the right but are not obligated, to limit the sales of our products or Services to any person, geographic region or jurisdiction. We may exercise this right on a case-by-case basis. We reserve the right to limit the quantities of any products or services that we offer. All descriptions of products or product pricing are subject to change at any time without notice, at the sole discretion of us. We reserve the right to discontinue any product at any time. Any offer for any product or service made on this site is void where prohibited.


We do not warrant that the quality of any products, services, information, or other material purchased or obtained by you will meet your expectations, or that any errors in the Service will be corrected.


We reserve the right to refuse any order you place with us. We may, in our sole discretion, limit or cancel quantities purchased per person, per household or per order. These restrictions may include orders placed by or under the same customer account, the same credit card, and/or orders that use the same billing and/or shipping address. In the event that we make a change to or cancel an order, we may attempt to notify you by contacting the e-mail and/or billing address/phone number provided at the time the order was made. We reserve the right to limit or prohibit orders that, in our sole judgment, appear to be placed by dealers, resellers or distributors.


You agree to provide current, complete and accurate purchase and account information for all purchases made at our store. You agree to promptly update your account and other information, including your email address and credit card numbers and expiration dates so that we can complete your transactions and contact you as needed.

In the event that any provision of these Terms of Service is determined to be unlawful, void or unenforceable, such provision shall nonetheless be enforceable to the fullest extent permitted by applicable law, and the unenforceable portion shall be deemed to be severed from these Terms of Service, such determination shall not affect the validity and enforceability of any other remaining provisions.


The obligations and liabilities of the parties incurred prior to the termination date shall survive the termination of this agreement for all purposes.


These Terms of Service are effective unless and until terminated by either you or us. You may terminate these Terms of Service at any time by notifying us that you no longer wish to use our Services, or when you cease using our site.
If in our sole judgment you fail, or we suspect that you have failed, to comply with any term or provision of these Terms of Service, we also may terminate this agreement at any time without notice and you will remain liable for all amounts due up to and including the date of termination; and/or accordingly may deny you access to our Services (or any part thereof).


The failure of us to exercise or enforce any right or provision of these Terms of Service shall not constitute a waiver of such right or provision.

Turnaround Times

Turnaround time for an average order is 3-10 business days; however, this can vary per order. If you are in need of an order quicker than our standard turnaround time we can most likely accommodate. While we do not charge for rush orders in some cases you might incur an upgraded shipping charge. Please contact a sales representative at 1-800-481-4948 to discuss all your options. WHAT CAN AFFECT TURNAROUND TIMES?

Custom Design

If we will be designing your product this can add an additional 1-3 business days to your turnaround time. Products with a large number of designs will obviously take more time than orders with fewer designs.
The Review Process
All orders must be approved before we can schedule them for production. To ensure you get the fastest possible turnaround time we urge you to approve your order as soon as possible after you receive the notification that your proofs are available.


Even though your order may be approved we do not start production until your order has been paid in full. For the fastest possible turnaround time please pay promptly after approval.

Product or Product Options

Some products require more time to produce. For example, the process for offset printing is more complex than digital and takes a little longer. You can see the production time for each individual product by clicking the Specifications tab on the product details page.  However, some options that require additional processes such as UV coating, custom binding, or die cutting could add to production time. If you are on a short fuse and not sure if your selected options will delay delivery we urge you to call 1-800-481-4948.

Shipping Method and Shipping Zone

Your order will be shipped from one of our facilities in either Arizona, California, Texas, Kentucky, or Wisconsin. Depending on the product(s) you order and your shipping address your order could be shipped from one or more location. This will play a large part in determining your delivery zone which could range from 1-5 days for Continental US shipments and up to 8 days for International shipments.  Obviously, if you upgrade your shipping method you can cut down the shipping time drastically. If you feel you might need to upgrade your shipping please contact a sales representative at 1-800-481-4948 to determine which facility your order will ship from and your shipping zone. Some products will also allow partial shipments; for more information please call.

What to Expect After You Order

Placing an order with Grandstand Ink is easy. Simply choose the products and options you want, click add to cart, then follow the checkout process. Alternatively, you can call 1-800-481-4948 and place your order with an account representative.

After your order has been placed we will need to gather some information from you.
If you have print ready artwork, you will need to upload the files for your order. If you have not already done this during the ordering process you may do so here. Please make sure all files meet or exceed our Artwork Guidelines.


If we will be doing design work for any of the products you have ordered you will need to upload any images, logos, documents, etc. prior to us starting on your design. If you have not already done so during the ordering process you may do so here. A designer will also be contacting you in the next 12 hours for a consultation.


Alternatively, you may also send an email to design@printeventpro.com with instructions and/or file attachments. *Please do not email files that exceed 25megs **Be sure to include your order number in the subject line.


We may need other files such as barcode instructions or seating manifests to produce your job.
If you are aware of any such files please click here for order history, then click view (icon located next to the order your working on) and upload files there.


If you would like us to keep these files handy so you can easily use them on future orders (such as seating charts) please click here to attach them to your account


Once the design department has either approved your print ready artwork or finished your custom design you will receive an email with a link to your proofs. ALL ORDERS MUST BE APPROVED. NO EXCEPTIONS.


To approve your proofs you will log into your account. Click on My Account located at the top of the page, then My Orders from the center section, and finally on Order Proofs next to the order you plan to review.


If the product design is acceptable click on Approve Design
If all product designs are acceptable initial and click on Approve Product


If the product design needs changes, click Not Approved and type the required changes in the text field that appears.


Lastly, you will need to pay for your order before we begin the printing process.

If you would like to pay via the internet please log into your account click on My Account located at the top of the page, then My Orders
from the center section, and finally on Pay for Order next to the order you plan to submit payment for.


That’s it!  Now just sit back and relax. We will notify you via email as your order makes its way through our process and send you a tracking number after it ships.
